Control and Reporting

Council Meetings and Reporting Structure

Council meetings will be held twice a month in the first week and last week regarding:

  • Monthly Report: Prepare and submit a detailed month report outlining the student council's work and achievements.
  • Feedback Collection: Systematically collect student feedback through surveys, questionnaires, and direct meetings.
  • Activity Analysis: Analyze the effectiveness of all activities to identify areas for improvement.

Code of Conduct and Operating Regulations

This document outlines the mandatory standards of conduct, accountability, and professional behavior required of all elected and appointed members of the Student Council. Adherence to these rules is non-negotiable.

SECTION I: Ethical Conduct and Professionalism

  • Confidentiality: Act with integrity; do not disclose sensitive internal or private data without explicit authorization.
  • Conflict of Interest: Declare conflicts immediately and recuse yourself from the discussion and voting on that issue.
  • Respectful Discourse: Maintain professionalism; harassment or derogatory language is grounds for discipline.

SECTION II: Internal Operations and Attendance

  • Mandatory Attendance: All regular/emergency meetings are mandatory; notify the Secretary in advance if absent.
  • Preparation/Punctuality: Arrive on time, having read materials, prepared for meaningful contribution.
  • Active Participation: Consistently perform assigned committee work and duties.
  • Voting Protocol: Participate in all formal votes; abstain only for legitimate conflicts.

SECTION III: External Representation and Communication

  • Single Voice Principle: Adhere strictly to the Council's official, pre-approved position when communicating externally.
  • External Protocol: Do not initiate contact with other university bodies without Council Head approval.
  • Online Conduct: Ensure social media conduct reflects positively; strictly no sharing of confidential information online.

SECTION IV: Accountability and Disciplinary Action

  • Grievance Procedure: Submit all complaints against a member in writing to the Council Head or designated Representatives.
  • Disciplinary Measures: Violations lead to action (warning, suspension, or removal) decided by a simple majority Council vote.
  • Review and Amendment: Code is reviewed annually and requires a two-thirds majority vote for any amendment.
